Study Load
- The study load for student whose master degree in the same field of study is 46 – 50 credits, consists of ≥12 credits of lectures (≥ 50% of Doctoral courses and ≤ 50% of Master courses) and 34 credits of Dissertation.
- The study load for student whose master degree in the different field of study is 46 – 50 credits, consists of 24 credits of lectures that also includes matriculation course (≥ 40% of doctoral courses and ≤ 60 % of master courses) and 34 credits of dissertation.
- All courses can be taken inter-, intra-, and/or between study program in Universitas Gadjah Mada or other universities with Promotor’s approval.
- 34 credits of dissertation includes research proposal writing, seminar, dissertation defence, and scientific publication.
- Student have to publish at least one article regarding their doctoral research, accepted in international journal that prescribed periodically by Universitas Gadjah Mada and without violating writing ethics.
Promotor
Promotor from Faculty of Animal Science UGM
- Promotor must hold doctoral degree and pose functional position at least Lektor Kepala or Associate Professor. Meanwhile, Co-Promotor must hold doctoral degree and post functional position at least Lektor.
- Promotor and Co-Promotor must have competency regarding to the student’s proposed research topic.
- The maximum number of student that Promotor or Co-Promotor can guide/supervise is 6 students.
Promotor from other Faculties in UGM
- Promotor must hold doctoral degree and hold functional position at least as Lektor Kepala or Associate Professor. Meanwhile Co-Promotor must hold doctoral degree and pose functional position at least as Lektor.
- Promotor and Co-Promotor must have competency regarding to the student’s proposed research topic.
- The maximum student number that Promotor or Co-Promotor can guide/supervise is 2 students.
- Demonstrate strategic relationships with student and Faculty of Animal Science UGM as follow:
- Students carries out the research in the Promotor’s home Faculty, and/or
- The research topic is proposed by Promotor, and/or
- Promotor has specific competency that is not posed by any lecturer at Faculty of Animal Science UGM.
Promotor from Other University, Institution, or Industry Outside UGM
- Promotor from outside UGM only can be Co-Promotor.
- Co-Promotor must hold doctoral degree.
- Co-Promotor must pose competency regarding to the student’s proposed research topic.
- The maximum student number that Co-Promotor can guide/supervise is 2 students.
- Demonstrate a strategic relationship with student and Faculty of Animal Science UGM as follow:
- Student conduct his/her research at the Co-Promotor’s institution, and/or
- The research topic is proposed by Co-Promotor, and/or
- Promotor has specific competency that is not posed by any lecturer at Faculty of Animal Science UGM.
Guiding/Supervising
- Students are demanded to actively engage themselves to get a routine advisory meeting with Promotor Team.
- Students, advised by Promotor Team, have to write research proposal within a year after completing all courses.
- Students are encouraged to be available at campus during study period to allow the guidance process can be carried out effectively.
- Students have to file a report of study progress that has been approved by Promotor Team to Study Program Management.
- Promotor Team have responsibility to give regular guidance in research proposal writing, comprehensive examination preparatory, research, dissertation writing, and dissertation defence preparatory.
Examiner Team and Assessor Team
Examiner Team is proposed by student and/or Promotor. The examiner team consists of 3 lecturer in the relevant field of study who hold doctoral degree and pose a functional position at least as Lector. The Examiner Team has responsibility to examine students from their research proposal to comprehensive examination. The examiner team will then act as Assessor Team for dissertation properness.
The Replacement of Promotor/Examiner/Assessor
Promotor/ Co-Promotor/ Examiner can be replaced by other lecturers if they are in any circumstances that hold them to do their responsibility, i.e. illness, in other duty, or not able to fulfil the competency required for student advising. The determination of promotor/examiner/assessor is performed in the meeting of study program management and faculty management.
Lecture Activity
Students have to attend lectures as prescribed in the study load. The lecture of a course is held for 14 meetings in each semester. The lecture can be in form of formal lecture or assignment (i.e. scientific paper discussion, paper assignment, and presentation).
Semester Examination
Semester examination is performed to evaluate the students’ competency for each course taken. Semester examination consists of midterm and final examination. The midterm examination is organized in the 8th week of each semester, whereas the final examination is held a week after the last meeting.
Dissertation
Students take dissertation after accomplishing 12 credits of theoretical lecture. The dissertation includes research proposal writing and seminar, comprehensive examination, research, research result seminar, dissertation defence, and publication in international journal.
Research Proposal Writing and Seminar
Before writing research proposal, student have to complete requisite courses. Research proposal have to be presented in a seminar that will allow students to acquire suggestion and recommendation before conducting the research. The seminar will also give opportunity for student to learn how to communicate in scientific setting
Comprehensive Examination
- Comprehensive examination is carried out by students before they conduct their doctoral research.
- Comprehensive Examination implementation:
- Students can take comprehensive examination after acquiring at least 12 credits of theoretical courses and obtaining 2.25 of minimal GPA.
- Comprehensive examination is examined by 3 examiners and led by Dean or other Faculty Managements. The examiners are lecturers in the field of study who pose at least Lektor as functional position and hold doctoral degree. The examiners are appointed by Dean.
- The examination is carried out orally for 120 minutes.
- The examination result is stated as “pass” or “not pass”.
- Student who does not pass the comprehensive examination can retake the examination once, within 6 months since the first comprehensive examination. Student who does not pass the comprehensive examination for the scoend time is not allowed to continue his/her study.
- The examination result is delivered directly to student right after the examination.
- A student will become “doctor candidate” once he/she has passed comprehensive examination and revised research proposal based on examiners’ suggestion.
Research
Students perform research based on the approved research proposal. Research outside campus must be accompanied by promotor’s approval and letter of permission. The requirement to conduct research are listed below:
- Students can conduct research after passing the comprehensive examination.
- Students must file a report of research progress in each semester to the Head of Study Program.
- Students have to present their research results in a seminar at least twice. The seminar is regulated by Study Program Management.
- Research Evaluation is carried out at the end of each semester by submitting a report of research progress that has been approved by Promotor Team.
Research Result Seminar
Student present their research result in a seminar in order to acquire suggestion and recommendation from Promotor, Examiner Team, and seminar audience. Students take research result seminar twice during their study period.
Publication
Student have to publish their doctoral work in a journal that meets the prescribed requirements. The publication follows the regulation listed below:
- Students/graduate have to include Promotor and/or Co-Promotor co-author in the publication.
- Students have to include examiner who gives a significant contribution as co-author based on promotor’s approval.
- Students/graduate have to include promotor as corresponding author in their doctoral publication.
- Students publish at least 1 article regarding their doctoral dissertation in a reputed journal that has been prescribed by Universitas Gadjah Mada and without violating any writing ethics. Universitas Gadjah Mada updates the list of journals periodically.
- If student is not able to fulfil the publication requirement as sated in no. 4, the publication can be replaced by 2 international proceedings that internationally-indexed and prescribed periodically by University or accredited national journal.
Dissertation Examination
Dissertation is a work based on in-depth research that has been independently conducted by students and supervised by Promotor and Co-Promotor. Dissertation includes:
- A new innovation to science development.
- Discover a new answer for some problems that hitherto has been known.
- Proposes a new question to the developed science and technology.
Dissertation writing follows the guideline below :
- Written in Bahasa or English, approved by Promotor Team.
- Follow the prescribed format and guideline.
Dissertation Assessment
- Evaluation for dissertation properness that has been approved by Promotor Team is carried out by Assessment Team.
- Dissertation assessment is performed by Assessment Team, consists of 3 lecturers with one of them acts as both team leader and member.
- The member of Assessment Team are lecturers who:
- has expertise/field of study that same or closely related with the dissertation content,
- hold a tenure at Universitas Gadjah Mada,
- pose at least a Lektor position and hold doctoral degree,
- able to undertake the responsibility of Assessment Team, proven with a letter of commitment.
- The dissertation is assessed based on: content, logical thinking, methodology, structure of writing, and consistency of explanation.
- Assessment and Revision process:
- By a month after the submission of dissertation draft, Assessment Team set up a meeting that also attended by Promotor Team to assess and deliberately discuss the draft.
- Assessment Team write a report regarding the assessment result, including the suggestion or recommendation to Promotor Team to perfect the dissertation.
- The dissertation revision has been done within 6 months.
- If one of Promotor/Assessment Team is not able to attend the assessment meeting, the meeting still can take place.
The Properness of Dissertation Examination
- Dean/Person in Charge invites Dean/Person in Charge, the Head of Study Program of Doctor in Animal Science, Assessment Team, Promotor Team to attend a meeting for properness of dissertation assessment. The meeting will decide dissertation properness, Examiner Team, and the date of examination.
- Examiner Team consist of Dean/Person in Charge (as chairman), Promotor Team, 3 members of Assessment Team, and 2 additional Examiners that have relevancy with dissertation topic who hold a professor position or hold doctoral degree.
- If Dean/Person in Charge is not able to attend Closed Dissertation Examination, he/she can be replaced with the Head of Study Program of Doctor in Animal Science.
- Additional Examiners are appointed by Dean/Person in Charge by considering the suggestion from Promotor Team and Assessment Team. One of additional examiners have to come from outside of Universitas Gadjah Mada if there is no person from outside Universitas Gadjah Mada in Promotor and Assessment Team.
- 9 copies of dissertation must have been submitted to Academic Unit of Graduate Program by 14 days before the examination.
Closed Dissertation Examination
Students have to perform a closed dissertation examination that has been regulated as below:
- The closed dissertation examination is carried out if student’s GPA is 3.25 as minimal.
- The closed dissertation examination has to include at least one external examiner.
- The closed dissertation examination is lead by Dean/other managements or appointed Professors (who is not a member of Promotor Team).
- A closed dissertation examination is carried out for 150 minutes, includes 30 minutes of explanatory by student.
- Dissertation assessment includes:
- Student’s comprehension.
- Logical thinking and argument formulation used in decision or conclusion making.
- Structure of writing and consistency of explanation.
- The result of closed dissertation result is stated “pass without revision”, “pass with revision”, or “not pass”, with a value range from 0 to 4.
- If student who pass the examination with revision, have to finish his/her revision within 3 months after the closed dissertation examination.
- Student who does not pass the closed dissertation examination can retake the examination once, within one year since the first examination. Dissertation is revised based on examiner’s notes and suggestion.
- The result of closed dissertation examination who is stated as pass with or without revision is value with average of ≥ 3,25.
- Students who pass the closed dissertation examination with revision have to submit the revised dissertation within 3 months and approved by the Examiner Team. In case the student is not able to fulfil the aforementioned requirement, he/she has to retake the examination.
- If one member of Promotor Team and/or Examiner Team is not able to attend the examination, it can still take place.
Open Examination
Students who pass the closed dissertation examination can request to participate in graduation ceremony or open examination that regulated below:
- Open examination can be organized only for student who pass the closed dissertation examination and obtaining same or more than 3.50 of GPA.
- Open examination is proposed by Examiner Team and decided by the Head of Study Program.
- Open examination can be also proposed by Study Program as dedication to extraordinary contribution of the dissertation to science development and institution by considering Examiner Tea’s recommendation.
- The execution of open examination is a duty of Study Program.
- The examiners in open examination is same as the one who examine in the closed dissertation examination.
- Student who passes the closed dissertation examination with revision has to get approval from Examiner Team on their revisions.
- The Examiner Team received the revised dissertation by 14 days before the open examination.
- The schedule of open examination is decided by Dean with a consultation with Examiner Team.
- The open examination lasts for 60 minutes.
- The result of open examination will be counted in determining the graduate’s predicate.
- After the open examination, Examiner Team set up a Yudisium meeting. Yudisisum is arranged to determine the graduate’s predicate based on grades for each course taken, seminar’s grade, dissertation writing, closed dissertation examination, publication, and open examination.
- The open examination will still take place even one of promotors and/or examiners can not attend the event.

Dissertation Template and Plagiarism
- Students has to follow the prescribed templates for research proposal, seminar, and dissertation.
- The research proposal, seminar, and dissertation have to be approved by Promotor and Co-Promotor.
- The research proposal, seminar, and dissertation have to be verified by Promotor and Co-Promotor indicating that the substance of research proposal, seminar, and dissertation are free from plagiarism
Yudisium
- Yudisium is arranged for determining graduation and graduate’s predicate based on GPA.
- Yudisium is arranged for student who has passed closed dissertation examination and plan to participate in graduation ceremony.
- Yudisium for students who will take open examination is arranged by Examiner Team whom appointed by Dean. The yudisium take place after student passes the open examination.
Graduation Evaluation
Students who have completed all required credits as prescribed in the study load will be avowed passing in their study program if meet all these requirements below:
- Hold 3.25 of minimal GPA
- Do not have D and/or E marks
- Have passed dissertation examination
- Have submitted dissertation that has been approved by Dean
- Have published at least 1 article about his/her doctoral works in prescribed journal
- Have been avowed “pass” in yudisium meeting
Graduate’s Predicate
Graduate’s predicate is determined based on the comprehensive assessment that reflects academic performance during study period.
- Cumlaude if GPA is more than 3.75 with 8 years of maximal study period.
- Very satisfactory if GPA ranges from 3.51 to 3.75, or more than 3.75 with study period more than 8 semesters.
- Satisfactory if GPA more than or equal with 3.25 and less than 3.51.
Study Period
Study completion of Study Program of Doctor in Animal Science is 6 semesters to 10 semesters. The study period is started since student admitted to the study program until the yudisium.
Leave of Absence
Leave of absence can be granted by Dean after student passes the comprehensive examination. The length of leave of absence is not exceeding 2 semesters. The leave of absence period will not be included in the count of study period.
Study Period Extension
Extension can be granted to student who demonstrates progress in his/her study completion after the 3rd letter of warning is issued. The extension can be granted for maximal 2 semester by considering student’s progress.
Consultation, Study Progress Report, and Study Completion Plan
Consultation form is filled by student each time he/she has guidance meeting with his/her promotors. Study progress reports covers the academic progress by the latest semester students in, filled each semester to Academic Unit of Graduate Program Faculty of Animal Science, approved by Promotor. Consultation from and study progress report is submitted to Academic Unit at the end of each semester. Study completion plan covers academic activities plan in one next semester and submitted to Academic Unit, accompanied with Study Plan Card at the beginning of each semester.
Study Period Evaluation
First Evaluation
- Student who by the end of third semester has not passed the comprehensive examination will be granted one semester of extension to complete the comprehensive examination.
- In the mean time of the extension, student will be issued the first, second, and third letter of warning.
- If students fails to pass comprehensive examination in one semester of extension, he/she will not be allowed to continue his/her study.
Final Evaluation
- Student who by the end of 6th semester has not completed his/her study with 3.25 of minimal GPA and has not published article in the prescribed journal will be issued first letter of warning.
- Student who by the end of 7th semester has not completed his/her study with 3.25 of minimal GPA and has not published article in the prescribed journal will be issued second letter of warning.
- Student who by the end of 8th semester has not completed his/her study with 3.25 of minimal GPA and has not published article in the prescribed journal will be issued third letter of warning and can be granted a maximal 2 semesters of extension.
- In the case of student fails to complete his/her study, student will not allowed to continue his/her study and will be avowed “resign” or “drop out”.
